Inviting Users

SignPresenter accounts include unlimited users at no extra cost. Invite a colleague to manage messages, build playlists, or look after a specific department — and pick the permission level that fits.

Steps

  1. Click your name in the top-right and choose Settings.
  2. In the Departments panel, click into the department where you want to grant the user access. (If your account only has one department, that's where you'll add them.)
  3. In the Department Permissions box, click New.
  4. Enter the user's email address.
  5. Click Save.

The user receives an invitation email with a link. They click it, set a password, and log in — they'll see only the department(s) you've added them to.

Choosing a permission level

The role you grant during invite (or update afterward in the same panel) controls what the user can see and do:

User (default)Build messages, playlists, and screens within their department. Can't change billing or feed subscriptions.
OwnerEverything a User can do, plus manage billing and feed subscriptions.
CreatorEverything a User can do, plus create and manage public feeds (publishing-side).
AdminFull access — including custom templates and the admin dashboard.

You can grant multiple roles to one user. Most accounts only need one or two admins.

Adding the same user to multiple departments

If you have multiple campuses or franchises, the same person can have access to several departments:

  1. Repeat the invite flow in each department.
  2. The user gets one email per department they're added to.
  3. Once they log in, they see a department switcher in the top-right.

Removing a user

In the same Department Permissions panel, find the user, and click the trash icon next to their row. They lose access immediately. You can re-invite them later — their account isn't deleted, just disconnected from your department.

What new users see

New users land on the Welcome page and walk through the same three-step flow as a brand-new account: create a message, build a playlist, pair a screen. They only see screens and playlists in the department(s) you granted them — plus anything you've explicitly shared with all departments.
